Replica for Litigation Support is a high-performance imaging and document management solution that provides a comprehensive infrastructure for organizing and managing complex collections of documents specific to law firms and legal departments. Built around the Microsoft Windows and NT operating system environments, Replica provides all the tools that your legal staff will need to quickly and efficiently capture, index, retrieve, view, organize and process the high volumes of documentation typically associated with litigation.
Unlike generic imaging solutions, Replica provides extremely powerful features that were designed with the world of litigation in mind. These advanced features are designed to eliminate the bottlenecks typically found in the processing of litigation documentation including: Image Capture, Indexing, Search & Retrieval, Organization and Document Production. All this power is built into a simple to use client/server application that system administrators will find easy to install & manage, and users will find remarkably intuitive. With Replica your legal staff can achieve unprecedented results in the prosecution of litigation involving large volumes of document populations.
Because meaningful research can't be performed until documents are in the system and indexed, Replica provides a remarkably fast and flexible means by which both paper and electronic documents are captured. A variety of high speed scanners as well as service bureau backfile conversion methods are supported providing document input capabilities ranging from 2,000 up to 50,000 images per day. Documents are captured and processed in batches that can be monitored and tuned for maximum speed and efficiency.
In addition to high speed imaging capabilities, Replica's full text and structured index features automate many of the manual processes previously encountered when building indexes for documents. Optical Character Recognition (OCR) as well as bar code and rule based data entry functions help to minimize the human intervention and error rates that can slow down or corrupt the document input function. Examples include bar code stickers or ink jet endorsers that are used to automatically index documents with bates numbers, default field values that are defined for a document batch and automatically applied to every document in the batch or full page OCR that automatically creates a text index which allows users to search for any word or phrase contained in your document population.
And you won't be limited to indexing your documents with just a few restrictive fields. Replica leverages the power of a full featured relational database designed with litigation indexing requirements in mind. Replica's legal database allows your users to easily associate documents with People, Organizations, Subjects, Dates, Titles, Groups, Document Histories, Notes, Security Levels and additional fields that you can define, plus many others. Now, large volumes of documents that may have taken days or weeks to process and index can be imaged and made available for searching and viewing within hours using Replica.
The key to a great litigation support document management solution is the ability to extract documents that are relevant to the case and then to present them in a meaningful, timely fashion. At the heart of Replica is an extremely powerful search and retrieval capability that combines the structured query power of a relational database with the flexibility of a full text fuzzy search engine. Using Replica's interactive graphical user interface, users can easily search the relational and full text indexes and display the resulting document hits.
With other imaging applications limiting indexes to a couple of fields may have been sufficient to search for documents such as invoices or insurance forms, however limiting index information to a few fields for unstructured documents that are typical of a litigation support document population is a formula for disaster. The trick to finding relevant documents in a legal case is the ability to index and search the document population across a wide spectrum of index fields in combination with a full text database. Add to this users' needs to create custom queries on the fly, quickly generate result lists, and work with an interface that is both flexible and easy to use and you've mapped out a solution that is more than just an electronic filing system. Replica does all this and more.
Replica doesn't make assumptions about how your users want to search for documents by providing a few simple input boxes in which to enter clues. Instead, it provides users with a graphical query generator that lets them decide how to search for documents and what information they want to display in the resulting hit list. And should your users want to search for documents based on their content, Replica provides the most powerful full text search engine in the industry. Using this engine, our advanced adaptive pattern recognition system allows users to search for documents in ways never before imagined. And it couldn't be easier to use. Simply type what your looking for, click a button, and if a word or phrase in the index has the same general pattern as your search clue -- even if a word is misspelled or a phrase is in the wrong order-- Replica will still find what you're looking for.
Organization of relevant documents into meaningful collections and categories is critical to the successful use of documents in a litigation effort. Replica has been designed to accommodate these specific requirements. After documents have been retrieved from the system through use of the relational database or full text index your users are given the ability to browse the resulting hit list and view associated images in Replica's viewer. Additional index information is also made available through an electronic form that displays all the structured index information for each document in one easy to read window.
By utilizing this information, users can determine which documents are relevant to each aspect of a case and place those documents in corresponding electronic lists. Documents may be associated with one or more lists and each document list can be processed in a variety of ways including batch printing of images, report generation, export of document images to a CD, laptop or third party application or saving the list for future processing. Replica also provides you with the ability to generate document chronologies and histories that track how documents were used before, during and even after the case if necessary. In addition, your users will be able to create and associate notes and annotations with images to help highlight important sections of documents.
After you've captured, indexed, searched, retrieved and organized your documents it often becomes necessary to produce them in a variety of ways during the course of litigation. Once again Replica for Litigation Support has been tailored to meet the needs of your legal staff.
For volume print productions Replica provides a batch print option that allows your users to select a list of documents, determine which pages need to be printed and then output them to a laser printer. Each print job will contain a cover sheet containing information about the print job and each document can be separated with a separator sheet that contains information specific to the document.
For electronic output Replica provides an export option that works similar to the batch print option except that images are output to a directory structure on a local PC disk instead of a printer. These image files can then be written to CD, tape, a laptop or even e-mailed across the office or across the country. Electronic output can even be used to export images into third party applications such as courtroom presentation software packages.
Replica can easily be configured to run on a stand alone workstation or in a client/server environment using NT servers and Windows clients. Because of its componentized nature, Replica can easily grow in incremental steps as your needs grow.
